Where the workflow starts

A customer needs a service update or a change while the team is busy, or wants help finding the right person.

Knowledge the team approves

  • Current service policies and approved process explanations
  • Rules for permitted requests and account verification
  • Routing directory, staff availability, and exception policy

A bounded path through the conversation

  1. 01

    Understand the service need

Identify the reason for the call and explain the relevant approved process. Stop when the information does not support an answer.

  2. 02

    Prepare the permitted request

Collect the requested change and useful administrative context. Preserve the existing arrangement until an authorized change is confirmed.

  3. 03

    Route exceptions with context

Fee waivers, refunds, complaints, uncertain policy, and requests for a person go to the team authorized to review them.

The point where a person takes over

A request is not an executed action. Do not confirm a refund, waive a fee, change an account, or alter a booking without the required authority and a successful result from the relevant system.

The intended outcome

A requested delivery change and fee exception are prepared for review. The delivery and fee remain unchanged in this example.

In a proposed program, the review record connects the request, approved source, rule applied, handoff reason, and observed result. A queued request and a completed action are recorded separately.

What to evaluate before a pilot

  • Process explanations stay within current approved policy
  • Exceptions reach the authorized team with useful context
  • Failed or repeated actions do not produce false confirmations or duplicate changes

The service owner defines identity checks, permitted actions, exception handling, and the fallback when staff or a connected system are unavailable. Connections are evaluated for the particular program.
